Privacy Policy
Last updated: 29 October 2026
This policy explains how Brew Contract Cleaning Ltd collects, uses and protects personal information. It covers people who use our website, contact us, use our services, and business contacts we get in touch with about our services.
1. Who we are
Brew Contract Cleaning Ltd (“Brew”, “we”, “us”) is the data controller for the personal information described in this policy.
- Registered in Scotland, company number SC589290
- Registered office: 34 Dalziel Road, Hillington Park, Glasgow, G52 4NN
- Email: [email protected]
- Phone: 0141 375 3444
2. What information we collect
Information you give us
When you fill in a form on our website, email or call us, or ask for a quote, we collect your name, company, job title, email address, phone number, the address of the site you’d like cleaned and any details you share about the job.
Information about customers and suppliers
If you are a customer or supplier, or work for one, we keep the contact and billing details we need to agree, deliver and invoice work.
Business contact information from other sources
To find businesses that may need our services, we obtain business contact details from Apollo.io, a business contact data provider, and from public sources such as company websites, Companies House and professional networking sites. This information is limited to:
- your name and job title
- your work email address and work phone number
- the name, website, industry, size and location of the organisation you work for
We do not collect any sensitive information about you, and we do not use personal or home email addresses for this purpose.
Information from our website
Our website uses cookies. You can read more, and manage your choices, in our Cookie Policy.
3. How we use your information and our legal basis
| What we do | Legal basis |
|---|---|
| Reply to your enquiry, arrange site visits and send quotes | Taking steps at your request before entering a contract, and our legitimate interest in responding to enquiries |
| Deliver our services, manage contracts and send invoices | Performance of a contract |
| Contact business contacts about cleaning services that may be relevant to their organisation (see section 4) | Our legitimate interest in promoting our business to other businesses |
| Keep records for accounting, tax and health and safety | Legal obligation |
| Run, secure and improve our website | Our legitimate interest, and your consent for non-essential cookies |
4. Business-to-business emails
We sometimes email people at organisations in Glasgow, Edinburgh and the Central Belt whose role suggests they may be responsible for buildings, facilities or premises, to tell them about our cleaning services.
- We only send these emails to work email addresses at companies and other organisations. We do not send them to sole traders or partnerships unless they have agreed to hear from us.
- Each email comes from a named person at Brew, includes our company details and tells you how to stop further emails.
- We send no more than a short series of emails (up to four). If you don’t reply, we stop.
- To stop receiving emails, just reply “no thanks” or email [email protected]. We will stop straight away and add your email address to a suppression list so you are not contacted again.
We have assessed this use and believe it is fair: the information is limited to work contact details, it is used for a purpose a business contact would reasonably expect, and you can opt out at any time with one reply. You have an absolute right to object to direct marketing, and we will always respect it.
5. Who we share your information with
We do not sell your information. We share it only with service providers who help us run our business and who act on our instructions:
- our marketing agency, Inspire, which manages our email outreach on our behalf
- email and outreach software (Instantly) used to send and manage business emails
- our customer relationship management system (HubSpot)
- our email and website hosting providers
- our accountants and professional advisers, where needed
We may also share information where the law requires it.
International transfers
Some of our software providers are based in, or store data in, the United States. Where personal information is transferred outside the UK, we make sure it is protected by UK adequacy regulations (such as the UK Extension to the EU-US Data Privacy Framework) or by the ICO’s International Data Transfer Agreement or Addendum.
6. How long we keep your information
- Enquiries that don’t lead to work: up to 2 years from our last contact.
- Customers and suppliers: 6 years after our last transaction, for accounting and legal purposes.
- Business contacts we have emailed who did not respond: up to 12 months from our last email, then deleted.
- People who have asked us not to contact them: we keep only your email address on our suppression list, for as long as we carry out email outreach, so we can make sure you are never contacted again.
7. How we protect your information
We use reputable providers with appropriate security, limit access to the people who need it, and use secure passwords and two-step verification on our systems.
8. Your rights
You have the right to:
- ask for a copy of the information we hold about you
- ask us to correct information that is wrong
- ask us to delete your information
- ask us to limit how we use your information
- object to us using your information, including for marketing (we will always stop marketing when asked)
- ask for your information to be transferred to another organisation, where this applies
To use any of these rights, email [email protected]. We will respond within one month. There is no charge.
9. Complaints
If you are unhappy with how we have handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection regulator: ico.org.uk/make-a-complaint or 0303 123 1113.
10. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
